At Jobli Software Solutions Pty Ltd (ACN 626 500 043) ("Jobli", "we", "us", or "our"), your privacy is important to us. We are committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy outlines how we collect, use, disclose and store personal information when you visit our website (www.jobli.io), use our web Applicant Tracking System (ATS) and CRM platform, or use the Jobli mobile application (iOS).
1. About Us
Jobli Software Solutions Pty Ltd is a New South Wales (Australia)-based company that provides B2B recruitment software. We offer a digital ATS and CRM platform—available via the web and a Jobli mobile app for iOS—that enables organisations (our clients) to manage recruitment, candidate and contact workflows, jobs, placements and related hiring activity.
2. What Is Personal Information?
Personal information is defined in the Privacy Act 1988 (Cth) as information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information is true or not and whether recorded in a material form or not.
3. When Does This Policy Apply?
This policy applies to:
- Users of our web ATS/CRM platform;
- Users of the Jobli mobile application (iOS);
- Visitors to our website jobli.io;
- Individuals who contact us for support or enquiries.
Where our clients enter or import information about candidates, applicants, contacts or other individuals into Jobli, that content is generally controlled by the client organisation. Jobli processes that content to provide the service. Those individuals' privacy rights in relation to recruitment data may also be governed by the client's own privacy notices and practices.
4. What Personal Information Do We Collect?
The personal information we collect depends on how you use our website, platform or mobile app. We distinguish between two categories:
4.1 Account and end-user data
This is information about the person who signs in to Jobli (typically a recruiter, hiring manager or other employer-side user), including:
- Name, email address and phone number (including numbers used for multi-factor authentication where enabled);
- User identifiers (for example, Firebase UID / Jobli user id);
- Profile photo (if provided);
- Organisation / workspace membership and role information;
- Authentication credentials and session tokens;
- Support requests or communication records;
- Billing and payment details (if applicable);
- Usage and diagnostic information reasonably necessary to operate and secure the service (for example, access logs, device/app type, and error events).
4.2 CRM and client-content data
This is information about candidates, contacts, companies, jobs and placements that our clients enter, import or generate in Jobli. Depending on how a client uses the platform, this may include:
- Names, email addresses and phone numbers;
- Resumes, CVs and other documents;
- Notes, tasks and other free-text CRM fields;
- Photos or other media attached to CRM records;
- Voice recordings / voice memos and, where Phone & SMS features are used, call recordings and SMS or message content;
- Job salary ranges and placement salary or fee figures entered by users;
- Workplace or business addresses and related location metadata entered for companies or jobs (for example, via address lookup)—not continuous device GPS tracking.
Jobli processes CRM and client-content data as a service provider / processor on behalf of the client. The client controls what they collect and why, and is responsible for having a lawful basis and appropriate notices for candidate and applicant data they put into Jobli. That content is stored under the client's Jobli account or workspace and is associated with the logged-in users who access that workspace—even when the information is about a third party (such as a candidate) rather than about the signed-in user.
We retain personal information while the relevant account or workspace is active and as reasonably needed to provide the service, meet legal or security obligations, or as otherwise agreed with the client.
5. How Do We Collect Personal Information?
We collect personal information:
- Directly from you when you create an account, sign in (including Google Sign-In where used), or interact with our website, web platform or mobile app;
- When you upload files, attach photos or documents, or use microphone-enabled features such as in-app voice memos;
- When you or your organisation use optional Phone & SMS features (where enabled), which may involve calls, SMS, recordings and related activity logs;
- When you use address autocomplete or geocoding for business locations (we receive the search or address text you enter, not ongoing device GPS tracking);
- Indirectly through your use of our services (for example, browser metadata and cookies on the website; app and session diagnostics needed for reliability and security);
- Through communications with us (for example, email, support chat, or phone);
- From clients or integrated systems using our ATS/CRM software (including candidate and CRM content they import or sync).
We only collect information that is reasonably necessary for our platform and service delivery.
6. Why Do We Collect Personal Information?
We collect and use personal information to operate Jobli and provide app and platform functionality, including to:
- Authenticate users, manage sessions and support multi-factor authentication;
- Provide ATS and CRM features (including notes, documents, jobs, placements and related workflows);
- Enable optional features you or your organisation choose to use, such as voice transcription, AI-assisted helpers, Phone & SMS, address lookup and push notifications;
- Respond to customer support and technical requests;
- Maintain security, prevent fraud or misuse, and support reliability of the service;
- Fulfil legal and regulatory obligations.
We do not sell personal information to data brokers. We do not use personal information for third-party advertising, and we do not engage in cross-app or cross-website tracking for advertising purposes (including as that concept is used for Apple's App Tracking Transparency). We do not use CRM or candidate content for our own marketing.
7. Disclosure of Personal Information
We may disclose personal information to trusted service providers who process it on our instructions to help us deliver Jobli, including categories such as:
- Authentication and identity providers (for example, Firebase / Google for sign-in and SMS MFA where enabled; Google Sign-In where used);
- Hosting and cloud storage providers for platform data and file uploads (such as resumes, photos and attachments);
- AI processing providers (for example, OpenAI, or AI features delivered via Jobli APIs) when you use voice transcription or AI-assisted features—relevant audio, transcripts and CRM context may be sent for those features;
- Telephony providers (for example, Twilio) when a customer enables Phone & SMS features for voice calls, SMS, and related recordings or transcriptions as applicable;
- Maps and geocoding providers (for example, Google Places) for business address lookup based on query text or address strings;
- Apple and Expo for app distribution and push notification infrastructure, as applicable;
- Our staff and contractors who assist in operating the platform, under appropriate confidentiality obligations;
- Law enforcement or regulators if legally required to do so;
- Parties in the event of a business restructure, sale, or merger, as permitted by law.
We do not disclose personal information for third-party advertising or to data brokers for advertising purposes.
8. Jobli Mobile Application
The Jobli iOS app provides access to the same ATS/CRM service as the web platform. In addition to the practices described above:
- Session tokens and preferences may be stored locally on the device (using secure storage where applicable);
- Microphone access is requested when you use voice features (such as in-app voice memos);
- Photo library or camera access is requested when you choose to set a profile photo or attach media to CRM records;
- We may send product notifications (for example, application alerts, mentions, or SMS/call-related alerts where those features are enabled);
- Optional Phone & SMS features may be off by default or offered as a Labs/beta capability. When enabled by the customer, call and SMS content may be logged into the workspace as notes or activity;
- Account data and CRM records stored in a user's workspace—including candidate details and salary or fee figures about third parties—are associated with that Jobli account / workspace.
We do not use the mobile app for third-party advertising analytics or App Tracking Transparency-style cross-app tracking. Where crash or diagnostic information is available, it is limited to what is needed for reliability and security (including system crash reports that may be provided by Apple or the operating system). We do not use crash data for marketing.
9. Overseas Disclosure
Some of our service providers or infrastructure partners may be located outside of Australia, including in the United States, Europe, or Asia. Where information is transferred internationally, we take reasonable steps to ensure compliance with Australian privacy obligations and equivalent safeguards.
10. Data Security
We use a combination of technical, administrative and physical safeguards to protect personal information, including:
- Encryption of data in transit and at rest;
- Role-based access control;
- Secure hosting environments;
- Regular audits and vulnerability assessments.
While we take reasonable precautions, no data transmission or storage can be guaranteed 100% secure. You provide data at your own risk.
11. Access, Correction and Deletion
You may request access to personal information we hold about you, ask that we correct it if inaccurate, outdated or incomplete, or request deletion where appropriate. Requests can be sent to privacy@jobli.io. We may require identity verification before responding.
For candidate or other CRM data held in a client's workspace, individuals should also contact the client organisation that controls that recruitment data. Jobli can assist clients with access or deletion requests as appropriate.
12. Cookies and Website Analytics
Our website uses cookies and analytics tools to understand how visitors interact with the site and to improve the user experience. This may include data such as:
- IP address;
- Browser type;
- Pages visited;
- Time spent on the site.
You can manage or disable cookies via your browser settings.
The Jobli mobile app does not run third-party advertising analytics. Diagnostic information in the app is limited to what is reasonably necessary for functionality, security and reliability, as described above.
13. Third-Party Links
Our website or app may contain links to third-party websites or services. We are not responsible for the content, privacy practices or terms of those sites. We recommend reviewing their policies directly.
14. Complaints
If you have concerns about how we handle personal information, please contact us at privacy@jobli.io. We will acknowledge your complaint and respond within a reasonable timeframe, usually within 30 days.
